Privacy Notice

This notice explains how the County Government of Mandera handles information collected through the Meeting Sign-In System.

Information we collect

• Details you provide when signing in to a meeting (such as name, ID/staff number, department, designation, email and phone — as configured by the meeting owner).
• Your approximate location at sign-in, used only to verify you are within the meeting venue's geofence.
• Technical information such as device/browser type and IP address, used for security and audit purposes.

How we use it

• To record and verify attendance at county meetings and events.
• To send you sign-in confirmations by SMS and/or email where enabled.
• To produce official attendance reports for county record-keeping.
• To protect the integrity of attendance records against fraud and abuse.

Location data

Location is captured at the moment of sign-in to confirm presence at the venue. It is not used to track you afterwards and is stored only as part of the attendance record for that meeting.

Notifications

Confirmation messages may be delivered using third-party providers — Africa's Talking for SMS and Resend for email. Your contact details are shared with these providers only to deliver the specific message you requested or that the meeting requires.

Data retention & security

Records are retained in line with county record-keeping requirements and protected with access controls, encryption in transit, rate limiting and audit logging. Access to attendance data is restricted to authorized county officers.

You may request access to, correction of, or deletion of your personal data, subject to applicable law and the county's record-keeping obligations. To make a request, please contact us.
